2. PAYMENT INFORMATION

Important Payment Update:

-       Choice of Spot in Vendor Zone (Early Access on a first come first served basis): $300

20x10 Booths & Locations:

-       Centre Aisle: $400

-       Wall: $425

-       Corner: $450

-       Choice of Spot in Vendor Zone (Early Access on a first come first served basis): $500

-       Sponsor Package (Includes backdrop): $600

20x20 Booths:

-       Choice of Booth in Sponsor Zone (First come first serve and includes backdrop): $1,100


4. SETUP & LOAD-IN

Friday, August 8, 2025 | 5:00 PM – 10:00 PM CST

  • Mandatory early setup at Loading Dock #2
  • 1-hour unload limit from time of parking
  • Do not leave vehicles running or unattended
  • Table rentals: $15 (Pay before setup is required)
  • Vendor wristbands distributed during check-in (Option to purchase extras for $10 each)
  • Cover tables/racks before leaving; only leave items you’re comfortable storing overnight
  • Overnight security will be present
  • Optional Saturday drop-off: 6:00am – 8:00am (not recommended)
  • All loading doors will close at 9:00am CST sharp

  • Super Swap Early Bird Entry: 9:30am
  • VIP Entry: 10:00am
  • General Admission: 11:00am
  • Show Ends: 7:00pm CST (NO Early Departures)

Free Giveaways & $1 Raffles: 12:30pm – 5:30pm CST
Brand Giveaway Donations: Accepted at merch booth during Friday setup


6. VENDOR PASSES

  • 10x10 Booths - 2 Passes
  • 20x10 Booth - 4 passes
  • Sponsor Booth - 6 passes
  • Extra Wristbands - $10 (available Friday setup)

All booth members must check in by 9:00am or wait for main entrance doors to open @9:30am


7. VENDOR RULES & REGULATIONS

  • No chairs or obstructions in aisles or in front of booths
  • No loud music, speakers, or Bluetooth devices
  • No browsing other booths unless vendor is present
  • Do not move or use another vendor’s table
  • All booth items must be set up by 8:30am Saturday
  • Vehicles not permitted inside venue before 9:00pm CST

8. TAX COMPLIANCE NOTICE

  • IRS may be conducting compliance checks onsite
  • All transactions must include sales tax
  • If questioned: “Tax is included, and I am tracking sales for income tax reporting.”
  • Vendors are fully responsible for reporting all income

9. ELECTRICAL ACCESS

  • GES Electrical Vendor available during Friday setup / Saturday morning
  • Recommended: Bring your own portable generator (to avoid $100+ outlet fees)

10. CONTENT CONTEST

  • First 300 vendors are automatically entered
  • Vendor with best collab/activation wins $250 SWAP Credit
